What is the secretary to the board?
The Secretary plays a key role in supporting the Chair and helping to ensure the smooth and effective running of the Evergreen Care Trust Board of Trustees. It’s an interesting and important volunteer position that contributes directly to the charity’s governance and overall success.

role requirements
The Secretary supports the effective running of the Board by attending monthly Trustee meetings and producing draft minutes for approval. They prepare agendas in consultation with the Chair, receive agenda items from members, and circulate agendas and supporting papers in good time. During meetings, the Secretary ensures a quorum is present and, once minutes are approved, arranges for them to be signed by the Chair and properly filed. The role also includes assisting with agendas and minutes for the Annual Open Meeting (AOM) and any special or extraordinary general meetings, as well as keeping up‑to‑date records of committee membership. Working alongside the Trustees, the Secretary helps ensure the charity meets its obligations to the Charity Commission, including registration, reporting and governance requirements.
To carry out the role effectively, the Secretary should have strong organisational skills, experience of committee work and procedures, and confidence in minute‑taking. Good communication and interpersonal skills are essential, along with impartiality, fairness and the ability to maintain confidentiality. The role suits someone who is approachable, sensitive to others, well‑organised, detail‑focused, punctual, and able to work collaboratively with the Chair and fellow Trustees.

Hours and training
The Secretary is supported by the Volunteer Services Manager, with a full handover and shadowing period provided by the current Secretary to the Board.
The role involves attending one monthly Trustees’ meeting — usually held from 3:00pm to 5:00pm on the third Thursday of each month — followed by any agreed follow‑up actions. The overall time commitment is approximately five hours per month.
